Question 1: To whom should approach for the various certificates?
Ans: For bonafide certificate – concerned batch in-charge in the Academic Section.
For fee structure or fee receipts – Accounts Section
Question 2: To whom should approach for the Hostel related issue?
Ans: You need to approach Chief warden at cw@nitj.ac.in but only after all possible routes are used i.e.hostel Committee, hostel warden etc.
Question 3: I have not paid the semester fee. Who should be approached for payment?
Ans: You need to write to your batch in-charge for allowing you to make payment of the semester fee.
Question 4: I have not registered for the semester. Who should be approached for registration.
Ans: You need to write to your batch in-charge for allowing you to make registration for the semester.
Question 5: I need ……… number of days of leave. Who should be approached for this.
Ans: You may approach your faculty advisor and submit the application in the concerned Department. You must check the B Tech regulations uploaded on the Institute website under the Academic menu for admissible leave.
Question 6: Is internship available in the B Tech programme?
Ans: Yes, there is a provision of 06 months’ internship in the 8th semester in the B. Tech programme.
Question 7: I have not paid the semester fee. Am I still the student of the Institute?
Ans: No, once you have not paid the semester fee in the stipulated schedule in the beginning of the semester you cease to be the student of the Institute.
Course
Question 1: What happens when a student fails in any course?
Ans: A student must secure minimum 30 % in End-Semester Examination and 40% cumulatively to clear any course. If a student fails to do so he may adopt either of the following options:
• Supplementary exam
I. A student obtaining 'U' grade in a theory course may register for a supplementary exam in thatcourse. The supplementary examination will be held within a duration starting after the ‘Display ofgrades’ after the regular end semester exams up to one week after the commencement of classes in thenext semester.
II. The maximum number of times a supplementary examination can be taken for each course is 02. If thestudent fails to clear the course in 02 supplementary chances, he / she will have to repeat the course as additional course with 75% attendance requirement.
III. The grade will be decided only on the basis of the performance in this examination. However,attendance grade awarded in that course during the regular semester will be considered. The students opting for supplementary exam shall be awarded one grade less than the actual grade obtained and the highest grade that a student can get through this option is ‘D’. However, an ‘E’ grade shall remain as ‘E’.
• Additional Course
A student can register online through institute ERP portal for Additional course(s) during regular semesters in addition to his/her prescribed curriculum courses, under the following cases:
I. Students awarded U//L/X/W or ‘E’ grade in any course(s) can register for its respective Additional course(s).
II. Students willing to earn additional credits outside their curriculum, provided, the course(s) is/are being offered therein. a. Refer to clause 4.3 (II) for maximum number of credits that can be registered for during a regular semester.
III. L/X/W grade students have to attend classes and satisfy the attendance requirement.
IV. The students with ‘U’/’E’ Grade will not be required to attend classes, but will have to participate in the entire course evaluation process.
V. For an elective course in which U/L/X/W grade has been obtained, the student may take the same course or any other course from the same category. However, students with ‘U’ grade will have to attend classes if the elective course is changed.
For the students with ‘E’ grade, the Additional course is an improvement chance. The maximum number of courses that can be registered as additional courses for students with ‘E’ grade will be limited to 06 courses during his/her entire B.Tech programme.
Question 2: Can a ‘E’ grade be improved?
Ans: A student securing ‘E’ grade is allowed to improve the grade by re-registering for the course as Additional course(s), provided, the course(s) is/are being offered therein. However, only one attempt will be allowed for each course.For Registration of each Additional course/ Summer Contact course, the student is required to pay the course fee as per Institute norms. When a student re-registers for a course the better of the two grades (the old and the new) in the course will be considered towards calculation of SGPA and CGPA.
Question 3: How important is Attendance?
Ans: A minimum attendance requirement of 75% is compulsory for appearing in the End-semester examination.For all female students the minimum attendance requirement for appearing in the Institute examinations is 73%, in compliance with the recommendations of Ministry of Women & Child Development (MWCD) regarding “Menstrual Leave” for female students. (However, the institute usually considers 75% as minimum requirement, so it is advisable to maintain it at 75%.)
In case of medical emergencies, student will have to get approval of HOD to be given extra attendance.
Question 4: Is change of branch available?
Ans: A student admitted to a particular discipline of B. Tech. will normally continue in that discipline till completion of the degree. However, there is a provision for change of discipline of study of a student after the completion of the first two semesters (1st year) provided vacancies/vacancy exist(s) in discipline(s). The filling of vacancies for change of discipline shall be done category wise (General/OBC-NCL/Gen-EWS/SC/ST/PWD or any other category notified by the Ministry of Education, Govt. of India, New Delhi).
A student is eligible to apply for change of discipline at the end of the first year through institute ERP portal (after 2nd semester) only, provided he/she satisfies the following criteria:
I. CGPA for General/OBC-NCL/Gen-EWS category students: greater than or equal to 7.50 in the first attempt.
II. CGPA for SC/ST/PWD category students: greater than or equal to 6.50 in the first attempt.
III. Earned credits at the end of the 1st year must be equal to the credits prescribed in the scheme of first and second semesters of their studies.
IV. Any credits earned through summer contact course, shall not be considered for discipline change.
V. Change of discipline shall be made strictly on the basis of inter-se-merit of the applicants based on CGPA at the end of the first year to the limitation that
a. The actual number of students in the 3rd semester in the branch to which transfer is to be made, should not exceed the sanctioned strength, and
b. Maximum 10% registered students in 3rd semester of the discipline from which transfer is sought, will be allowed the change of discipline.
c. Ties will be broken by JEE (Main) rank of applicants
Question 5: What if a student is unable to give Mid Semester Examination due to medical reasons?
Ans: Students who are unable to appear in their Mid-semester examination on grounds of medical emergency/or any other special circumstances can apply for the Make-Up examination [Form UG-4]. The Make-Up examination shall be held after the End-semester examination and the exam shall cover full syllabus of the course. The dates for Make-Up examination (03 consecutive days) will be notified in the Institute Academic calendar. A fee as specified by the Institute shall be charged for appearing in the Make-Up examination.
1.A student can apply for Make-up examination only on grounds of medical emergency/or any other special circumstances.
2.The student has to apply for Make-up exam to the HoD within 7 days after the end of Mid-semestervexamination. No application shall be entertained afterwards in any case.
3.The students residing in the Hostels shall first report to the Institute Dispensary in case of any medical problem.
4.The Medical Officer of the Institute should clearly specify the rest period permitted.
5.Referral to other Hospitals shall be made by the Medical Officer of the Institute.
6.The medical certificate to be produced for Make-up application shall have to be issued either from the Institute Dispensary or from a Government Hospital only, clearly mentioning the rest period.
7.In case of any Competitive Examination/Interview/participation in any event, the student has to obtainprior approval before the commencement of the Mid-semester examination from the concerned HoD.
Dates for online registration for Make-up examination shall be notified in the Academic Calendar. The students shall fill the courses details on the portal, after evaluation of cases, the HoDs will approve the registered candidates online, and the students shall pay the fee of the approved courses through the portal.The academic section shall circulate a list of all registered students for the conduct of Make-up exam.
In case(s) of any ambiguity other than the above-mentioned guidelines, the matter shall be referred to Director by Dean Academic and the decision of the Director shall be final and binding.
